If you want less stress and more progress…make sure that everything on your to-do list is scheduled in your diary. If it’s not in your diary it’s just wishful thinking.

Hi. John Paul Fischbach here, CEO and Chief Alchemist of the Auspicious Arts Incubator with this week’s Hot Tip. If it’s on your to do list but it’s not in your diary you are bullshitting yourself. To do list is only a first step. You have to assign them a time in your diary. Why? Because it makes you realistic about what you can get done. It also allows you to do tasks when it’s efficient not just because it’s number 5 now. Until it’s in your diary and then assigned an hour it’s just wishful thinking.
Cal Newport is one of my favorite productivity heroes and he says scheduling forces us to confront the reality of how much time you actually have and how long things will take to get down. Time management experts agree that if you dont consider how long things take you’re setting yourself up for failure. I can hear lots of you saying but I get interrupted. Things crash into my day. Good, build that into your schedule. Here’s my favorite part of this tip. Assigning work to actual times in your dairy reduces the urge to procrastinate because you’re no longer deciding whether or not to work during a given hour. That decision has already been made.
Now I can hear some of you saying but it’s not fun. Here’s the thing. If you want to guarantee you’ll have fun schedule some blocks for free time and schedule what you want to do during that free time.
Here’s how it works for me. I get recharged by being in nature but I wasn’t scheduling nature into my diary so what I did is I blocked Sunday mornings. I picked a hiked. The result was I actually took the time and did something productive so schedule it.
